At Avya ChatBot (operated by Avya Technologies through chat.avya.lk), we believe that you own your data. We are fully committed to protecting your privacy and ensuring transparency in all our data retention practices.
This Data Deletion Policy and Instruction guide provides transparent details on how you can request the permanent removal of your account, profile, subscription details, uploaded knowledgebase files, configurations, integrations, and conversations. We provide both in-app self-service controls and automated systems to handle these requests safely and immediately.
2 Data Deletion Rights
In accordance with major global privacy standards (such as GDPR, CCPA, and Meta Platform Policies), all users have the right to request the complete deletion of their personal data. By exercising your rights, you can request:
- Immediate, irreversible deletion of your user profile and login credentials.
- Purging of all business documents, operational guides, and knowledge vectors.
- Erasure of chatbot configuration parameters, greeting statements, and customized models.
- Unlinking of Page and WABA messaging channels (Facebook Messenger and WhatsApp).
- Complete removal of conversation logs and message histories.
3 Automatic In-App Deletion
The fastest and most direct way to delete all your operational data is by utilizing our built-in account deletion tool inside your dashboard. This tool runs a comprehensive, multi-layered transaction block to delete all resources instantly without manual intervention.
To execute in-app account deletion, please follow these steps:
- Sign in to your account at chat.avya.lk.
- Click on your profile avatar in the navigation sidebar and select Profile.
- Scroll to the bottom of the page to locate the Danger Zone section.
- Click the **Delete Account** button.
- Enter your current password to verify your identity.
- Read the warning statement, check the acknowledgment box, and click **Confirm Delete**.
Once confirmed, your session will be invalidated, your local cookie deleted, and your entire database and gateway files permanently cleared.
4 Meta and Facebook Data Deletion
Avya ChatBot offers integrations with Meta Platforms, allowing you to connect Facebook Pages and WhatsApp Business Accounts to your AI. If you have connected your Facebook Page, Facebook Messenger, or WhatsApp Business Account and want to request deletion of your platform data, you can do so directly from your Facebook settings:
- Go to your Facebook Profile's **Settings & Privacy** > **Settings**.
- In the left sidebar, click **Apps and Websites**.
- Locate the **Avya ChatBot** (or **Chat Application**) entry and click **Remove**.
- Check the boxes to delete all activity, posts, and details associated with the application, then confirm the removal.
Upon removing the app, Meta sends an automated, secure, and signed callback request to our data deletion webhook. Our backend immediately identifies your associated User ID, triggers our comprehensive deletion block, and deletes all linked page integration access keys, configurations, conversation histories, and document vectors automatically.
5 What Data is Purged
When an account is deleted, either through the in-app dashboard or the Meta developer callback, the following data items are permanently, irreversibly, and completely purged from all production servers:
User Account & Profile
Your name, email address, password hashes, phone numbers, and profile avatars are deleted completely.
Uploaded Materials
All uploaded operational guidelines, PDFs, document metadata, and binary file chunks stored in cloud buckets are purged.
Vector Embeddings
All parsed text passages, indexing graphs, and deep-learning vector embeddings stored in our AI database are deleted.
Conversations & Chats
All previous chat sessions, question histories, AI responses, feedback parameters, and messages are wiped.
Integrations & Credentials
All linked Facebook Page and WhatsApp Business Account credentials, access tokens, and configurations are destroyed.
Billing & Metadata
Subscription parameters, usage counters, API access tokens, activity logs, and system notifications are completely erased.
6 Data Retention Period
Our data retention policies ensure minimal collection and immediate processing of deletions. Here is our retention schedule:

- check_circleFirebase Storage Buckets: All raw document binaries and image assets are purged within a single transactional execution block.
- check_circleAutomated System Backups: System snapshots and backups hold encrypted database data for a maximum of 30 days before being permanently overwritten or rotated.
- check_circleTax and Auditing Metadata: Transaction records, invoice metadata, and billing histories processed via PayHere are legally retained for accounting and compliance purposes as required under local laws.
7 Manual Deletion Requests
If you are unable to access your dashboard, or would prefer to request deletion manually, you can contact our Data Protection Officer directly. We verify all requests to prevent unauthorized deletions and process them within 48 business hours.
To request a manual deletion, please draft an email from the address associated with your Avya ChatBot account containing:
- Your registered account email and full name.
- A statement explicitly requesting account termination and complete data erasure.
- Optional details concerning connected Facebook Pages or WhatsApp numbers to accelerate identification.
